Ask a cold emailer what their stack costs and they’ll quote the platform sticker: $39, $47, $49. Ask what leaves their account every month and the number roughly quadruples. The platform is the smallest line in a cold email budget. Inboxes cost money. Domains cost money. Warmup, verification and — most expensively — the lead data itself all cost money, and two of the three platforms below don’t sell you the data at all.

This benchmark prices the whole stack at one fixed workload: 10,000 sends per month, on Smartlead, Instantly and Apollo, using published plan rates as checked in October 2026. The platform traps are as interesting as the totals: at exactly 10,000 sends, every one of these tools forces you off its entry plan — for three different reasons.

The sending infrastructure (identical on all three platforms)

Cold email math starts with deliverability discipline, and it’s the same whoever you pay for the sequencer:

  • 10,000 sends/month over ~20 sending days = 500 sends/day.
  • Cap each inbox at ~30 sends/day (a widely used planning ceiling for cold outreach; aggressive senders run more, and burn domains faster). 500 ÷ 30 = 17 inboxes → 18 inboxes in practice.
  • 3 inboxes per domain (standard practice to limit blast radius) → 6 secondary domains.
  • Domains: ~$12/year each at cost-price registrars → $72/year ≈ $6/month. (Directional: registrar and TLD pricing varies; the order of magnitude is what matters.)
  • Inboxes, two routes:
    • Preconfigured/reseller inboxes: ~$4.50/inbox/month (Smartlead’s own SmartSenders lists around this) → 18 × $4.50 = $81/month.
    • Google Workspace: Business Starter at $7/user/month billed annually ($8.40 flexible) → 18 × $7 = $126/month.
  • Warmup: included in the headline plans at both Smartlead and Instantly (unlimited mailboxes and warmup are their shared pitch). Apollo includes a deliverability suite with warmup from Basic up. Smartlead sells a premium warmup pool as an add-on (reported at $59/month) — optional, and excluded from the base model.

Infrastructure subtotal: $87/month (reseller inboxes) or $132/month (Workspace) — before any platform sees a cent. This is the part the sticker prices pretend doesn’t exist.

The platform layer: three entry-plan traps

Smartlead: the $39 plan can’t send your workload

Smartlead Base is $39/month — and caps you at 6,000 emails/month and 2,000 stored contacts. Ten thousand sends doesn’t fit. The plan that runs this workload is Pro at $94/month (30,000 contacts; ~90,000 emails/month per the current pricing page as reported in August–September 2026). All plans include unlimited connected mailboxes and warmup. Pro also lists a verified prospect-email allowance (30,000) — a data credit most comparisons miss. Add-ons exist for everything else: white-label client workspaces ($29/client/month), dedicated sending servers ($39/server/month), verification credit packs.

Flat-lay: a wooden abacus with pastel beads pushed mostly to one side, next to a blank paper sheet held down by a smooth stone paperweight and a small stack of coins

Instantly: the $47 plan can’t send it either

Instantly Growth is $47/month ($37.60 billed annually) — capped at 5,000 emails/month and just 1,000 uploaded contacts (a lifetime cap, not monthly, which is its own trap). The workload needs Hypergrowth at $97/month ($77.60 annually): 25,000 uploaded contacts and 100,000+ emails/month (some current trackers list 125,000; the cap has moved recently). Unlimited email accounts and warmup included. But note what’s not in the box: the lead database. Instantly’s SuperSearch is a separate subscription starting around $37.60/month billed annually for 1,500–2,000 credits — if you want Instantly to also find your leads, the platform layer is really ~$135/month, not $97.

Apollo: the $49 plan is a data plan wearing a sender’s clothes

Apollo prices per seat and bundles the database with the sequencer — a genuinely different animal. Basic is $49/user/month billed annually ($65 monthly) with 30,000 credits per seat per year — but sending is capped at 1 mailbox per user and 250 emails/day, which ceilings out around 5,000–6,000 sends/month in safe practice. The plan that actually runs 10,000 sends is Professional at $79/user/month billed annually ($99 monthly): unlimited mailboxes, unlimited daily sends, and 48,000 credits/year (≈4,000/month) — email reveals cost 1 credit each, so the included credits cover roughly 4,000 fresh leads a month. At ~2.5 sends per lead in a typical sequence, 10,000 sends touches ~4,000 leads: Apollo’s included data almost exactly covers this workload. Neither rival can say that.

The true-cost table (10,000 sends/month, reseller inboxes)

Line itemSmartlead (Pro)Instantly (Hypergrowth)Apollo (Professional, 1 seat)
Platform$94$97$79
18 inboxes @ $4.50$81$81$81
6 domains (amortized)$6$6$6
Total / month$181$184$166
Cost per 1,000 sends$18.10$18.40$16.60
Lead data included?Partial — 30,000 verified prospect emails listed on ProNo — SuperSearch from ~$37.60/mo extraYes — ~4,000 email reveals/mo in credits
With Google Workspace inboxes instead$226$229$211

The spread between first and last is $18 a month — noise. The real differences are structural:

  1. Apollo is cheapest because it bundles data. Price Instantly + SuperSearch honestly and it’s ~$222/month; Smartlead plus a separate data/verification spend lands in the same zone. Apollo’s per-seat pricing, though, turns on teams: seat two costs another $79, while Smartlead and Instantly don’t charge per user at these tiers.
  2. The platform is 43–52% of the true bill on every row. Optimizing platform choice saves ~10%; optimizing inbox route (reseller vs Workspace) saves ~25%. Everyone shops the wrong line.
  3. All three entry stickers ($39/$47/$49) are decorative at this volume. The honest entry price for 10,000 sends is $79–97 before infrastructure. We walked through Smartlead’s setup economics for solo founders in Cold email without getting banned; the enrichment side of the stack is priced in Clay + n8n lead enrichment cost.

What the model leaves out (and when it matters)

  • Verification. Sending to unverified lists is how domains die. Apollo’s reveals come from its own database; Smartlead sells verification credit packs (reported $32–240 per batch depending on size); Instantly charges credits for verification inside SuperSearch. Budget it — a 2% bounce-rate difference costs more in burned domains than any line in the table.
  • Your primary domain is never the sending domain. The 6 secondary domains in the model are lookalikes of your real one. If a plan or a guru suggests sending cold email from your main domain, the model’s cheapest line item becomes your most expensive mistake.
  • Deliverability tooling. Inbox-placement testing (Smartlead’s SmartDelivery, Instantly’s placement tests) is add-on territory on some tiers. At 10,000 sends it’s optional; at 100,000 it’s not.
  • Reply handling time. 10,000 sends at a 1–3% reply rate is 100–300 conversations a month. The platforms meter sends, not your hours — the true cost includes yours.

FAQ

What does it really cost to send 10,000 cold emails a month?
$166–184/month all-in on this model — platform ($79–97), 18 inboxes ($81 via resellers, $126 via Google Workspace) and 6 domains (~$6/month amortized). Anyone quoting you just the platform price is showing you half the bill.

Why can’t I use Smartlead’s $39 plan or Instantly’s $47 plan?
Send caps. Smartlead Base stops at 6,000 emails/month; Instantly Growth at 5,000 — both below the 10,000-send workload. The first plan on each platform that fits is Pro ($94) and Hypergrowth ($97) respectively. Apollo’s equivalent gate isn’t the send cap but its Basic tier’s 1-mailbox / 250-sends-per-day limit, which pushes you to Professional ($79).

Is Apollo actually a cold email platform, or just a database?
Both, at Professional tier and above: unlimited sequences, unlimited connected mailboxes, no daily send cap — with the database (48,000 credits/year per seat) in the same subscription. Its limits are different in kind: per-seat pricing punishes teams, and you’re sending through Apollo’s sequencer rather than a specialist tool’s deliverability stack.

Reseller inboxes or Google Workspace — which should I buy?
Reseller/preconfigured inboxes (~$4.50/month) are cheaper and faster to stand up, and are the default choice for dedicated cold outreach at this scale. Workspace ($7/user/month billed annually) costs ~55% more per inbox and buys you Google’s own infrastructure reputation and a full productivity suite you mostly won’t use on sending domains. The model prices both; the $45/month difference is real either way.

Does warmup cost extra?
Base warmup is included in the headline Smartlead and Instantly plans (unlimited warmup is a core part of their pitch) and in Apollo’s deliverability suite. Premium warmup pools and placement-testing tools are add-ons — Smartlead’s premium pool is reported at $59/month. At 10,000 sends, base warmup suffices.

Where does lead data come from on Smartlead and Instantly?
You bring it: a scraper, a data provider, or an enrichment pipeline — Smartlead Pro does list a verified prospect-email allowance (30,000), which softens this. Instantly’s answer is SuperSearch, a separate subscription from ~$37.60/month billed annually. Apollo includes the data in the seat price, which is the main reason it wins this particular table.

Methodology

What we did: Fixed one workload — 10,000 sends/month — and one deliverability model (20 sending days, ~30 sends/inbox/day ceiling, 3 inboxes per domain, 6 domains), then priced the platform tier on each tool that can actually run that workload, plus the shared infrastructure, from published rates checked in August–October 2026. All arithmetic is shown; change any assumption and the table re-runs cleanly.

What we did NOT do: We did not run campaigns, measure deliverability, inbox placement or reply rates on any platform, or verify that any tool’s data is accurate. Cost is the only claim here. Sending-practice figures (30/inbox/day, 3 inboxes/domain) are stated planning conventions, not platform rules. Where trackers disagreed — Instantly Hypergrowth’s send cap appears as both 100,000 and 125,000; Smartlead Pro’s as 90,000 and 150,000 — we used the more recent pricing-page readings and flagged the disagreement rather than hiding it.

Conflict disclosure: Smartlead is an affiliate partner of this site. It finishes mid-table in this model — Apollo’s bundled-data economics beat it at one seat — and the article says so with the arithmetic shown. Prices checked October 2026.

AWL verdict

At 10,000 sends a month, stop shopping platforms and start shopping stacks. Smartlead Pro ($181/month all-in modeled) is the specialist’s choice: unlimited mailboxes, agency-friendly, data allowance included, and the deepest deliverability add-on shelf when you grow. Instantly Hypergrowth ($184) matches it on price and beats it on polish, but its “true” price quietly excludes the lead database. Apollo Professional ($166, one seat) is the value pick at exactly this scale because the data is in the box — and the wrong pick the moment you need seats three and four. The sticker prices ($39, $47, $49) are fiction at this volume; the infrastructure is the bill.
